Most small business owners hiring an accounting firm for the first time ask the same question: what exactly am I paying for every month?
It’s a fair question — and one that accounting firms don’t always answer clearly upfront. Here’s a complete breakdown of what’s typically included in monthly accounting services, and what usually costs extra.
At any reputable full-service accounting firm, your monthly fee should always include:
Bank and credit card reconciliation — Every transaction in every account matched and accounted for. This is the foundation of accurate books.
General ledger maintenance — Your chart of accounts kept clean and organized. Journal entries made as needed.
Monthly financial statements — At minimum, a balance sheet and profit & loss statement delivered every month. These are the two reports that tell you whether your business is financially healthy.
Transaction categorization — Every income and expense item properly classified so your reports are accurate and your deductions are captured.
Beyond the basics, what’s included in monthly accounting services varies significantly based on the service level you choose. Here’s how it typically breaks down:
Compliance-only tier (entry level) — You get clean books and financial statements every month. Tax prep is included at year-end. No ongoing advisory relationship. Good for businesses that just need accurate records and a compliant return.
Compliance + relationship tier (mid-level) — Everything in the entry level, plus a monthly financial review call with a dedicated advisor. Mid-year and year-end tax planning. Proactive advice when something in your numbers warrants a conversation. This is where most established small businesses should be.
Full advisory tier (advanced) — Everything above, plus cash flow forecasting, budget vs. actual reporting, and KPI tracking. Designed for business owners who want to run their company with real financial visibility — not just historical reporting.
At Accounting Freedom, these tiers are called Core, Core+, and Core Pro. You can see exactly what’s included in each before you ever get on a call.
Here’s where business owners often get surprised. These items are commonly billed separately:
Payroll processing — Payroll is almost always a separate service with its own monthly fee. If your accounting firm also handles payroll, ask whether it’s included or add-on.
Sales tax filing — Some firms include one state, others charge per state. If you have nexus in multiple states, clarify what’s included.
Personal tax returns — Your business return is typically included. Your personal return — especially if it’s complex — may be billed separately.
1099 preparation — Many firms include a set number of 1099s and charge per form above that threshold.
Cleanup work — If your books are behind or disorganized when you start, cleanup is typically billed as a one-time project fee before the monthly engagement begins.
IRS notice response — If the IRS contacts you, responding on your behalf may be billed hourly or as a flat project fee depending on the firm.
Business advisory projects — Financial modeling, entity restructuring, loan package preparation — these typically fall outside a standard monthly engagement.
Before committing to any monthly accounting engagement, ask these questions:
A firm that can answer all of these clearly — in writing — is a firm worth trusting.
